Job Description

BASIC FUNCTION: Overall responsibility of the solicitation, selling and servicing for social events, corporate events, photo shoots and wedding business at The Villas of Grand Cypress, not booked through the Group sales department, in order to maximize overall Food and Beverage Revenue, Room Revenue, Golf Revenue and Site Fees for Photo Shoots. Ideally, will invent unique theme concept designs, breaking new ground to ensure maximum client satisfaction while applying inherent good taste and superior creative abilities to set standards in the special events industry. Attend trade shows pertinent to market areas and attend meetings, seminars and functions through membership associations. Direct responsibility for photo shoots conducted at The Villas of Grand Cypress. Work relationships with Site Planners, Producers and Companies that do filming of commercials, still shots, golf commercials, etc.

QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING, & WORK EXPERIENCE

Bachelor’s degree in Sales & Marketing, Hospitality, or related fields preferred 2-3 years’ experience in hotel sales or social sales in a full service hotel or convention/conference center. Knowledge of conference service equipment, set-up styles and audio visuals equipment. Proven track record in building and maintaining positive client relationships. Excellent verbal and written communication and organizational skills Excellent knowledge of Microsoft Office (Microsoft Word, Excel, Power Point, Outlook) and Delphi Must be friendly, outgoing and comfortable with meeting and talking to clients on the phone and in person. Capable of managing multiple projects and accounts simultaneously Must be able to effectively communicate with clients, guest, vendors and team members

ESSENTIAL FUNCTIONS:

Pro-actively research, prospect and solicit new resort sales business opportunities, new accounts by leveraging business intelligence provided by leadership or other third-party data sources to generate leads. Field inquiry phone calls to solicit sales business for all types of social catering events primarily weddings, corporate or photo shoot client. Travel locally and out of state to solicit sales business. Attend trade shows, conventions and promotional events within the hotel and trade related organizations along with their annual galas, holiday parties, wedding shows, baby showers, bachelor/bachelorette parties, etc. Must be a member of the WIFT and Bridal organizations. Proactively solicits potential sets solicitation and revenue goals with the Director of Operations, develops and executes sales strategies to meet or exceed solicitation and revenue goals. Achieves call goal expectations and ensures customer satisfaction through daily interactions (i.e. solicitations, re-solicitations, account calls, new business calls, face to face activities, etc.) Effectively sell products and services throughout the sales phase to maximize profitability and achieve incentive goal. The completion of 30-60-90 action plans will be required to assist with goal achievement and finding new business. Selling and coordinating all local Dining Room functions, with groups of 12 or more to include private dinners, lunches and breakfast with approval of the Director. Respond to social, corporate, photo shoot and wedding inquiries by email or telephone in a timely manner and work inquiries to result in bookings. Recommend attracting new markets for PR opportunities for film shoots, increasing average checks, menu ideas, profit improvements, etc. to Director of Operations. Build professional and personal rapport with all potential wedding couples, wedding coordinators, wedding planners/organizations, wedding vendors, wedding marketing media (blogs, magazines) and film and production companies throughout the industry. Serve as a liaison with local business organizations; attending appropriate networking events sponsored by these organizations to prospect for new business. Organize and host on property networking events to promote the resort. Meet and greet clients, conduct property tours, tastings and promote facilities and services. Understands the overall market (i.e. competitors' strengths and weaknesses, economic trends, supply and demand etc.) in order to sell effectively against the competition. Monitor the content of partner and free websites (i.e. The Knot, Perfect Wedding Guide, Wedding Wire, WIFT Newsletter, Cvent, etc.) who list us with or without our input to be sure information is accurate. Use mailing lists and email lists from the above to execute direct mailing campaigns and solicit their business. Re-solicit opportunities, including turndowns, lost opportunities, actualized business and past accounts when appropriate to generate new business. Negotiate, produce and enforce contractual agreements pertaining to meeting space, food and beverage, photo shoots, social events and special concessions. Responsible for the compilation of all cancellation/attrition charges of their events. Ensures precise execution of social, corporate, wedding and photo shoot events by effectively coordinating all operating departments to deliver required services to include but not limited to, arrival and departure, meeting room set-ups, special individual needs, diagrams and special events. Will also procure necessary props, floral, costumes, entertainment, etc. for these events. Build relationships with counterpart interdepartmentally, with vendor partners and competitive venues. Communication of concise planning information both verbally and in writing to the operating departments in a timely fashion. Develop client menus, prepare contracts and essential paperwork, as well as organize all other arrangements as they relate to weddings, social, corporate or photo shoot events. Review final EOs and distribute to culinary, banquets and other impacted departments. Must constantly fulfill the general, unique or special meeting objectives of each client and ensure each meeting/event meets that client’s needs and requirements. Meet and greet in-house guests upon arrival, review the course of events and introduce other staff members. Plans and ensures execution of group event to include but not limited to dates/timing of arrival and departure, room set-ups, diagrams, audio visual/production needs, rooming lists, special needs, special events, on/off-site entertainment, transportation Knowledgeable with the property’s accommodations, meeting facilities and support services available at and through the property in order to best promote the effective utilization of the property by assigned corporate accounts Promote the use of the property’s ancillary services (i.e. banquets, cocktail receptions and theme parties) in fulfilling the general, unique or special meeting objectives of the clients and generally promoting the property as the facility best suited to meet their meeting needs and requirements Must be able to assist in the planning process, installation and other facets of departmental projects to include, but not limited to Holiday events and Resort sponsored events. Assisting periodically with the analysis of departmental procedures and offering management viable alternatives to processes of the Department including: billing procedures, client correspondence and form generation. Maintain a good working relationship with all Departments including timely updates in an effort to better meet the clients’ requirements. Prepare required reports, maintains guest history log of needs and preferences of event requestors and specific groups including previous photo shoot, social and corporate groups.
